Donβt Book your Celebrant without this Checklist for your Wedding
Questions You MUST Ask Your Celebrant β¨
π Donβt Book a Celebrant Without This Checklist
Choosing your celebrant is one of the most important decisions youβll make for your wedding β yet itβs often one of the decisions couples spend the least amount of time really considering.
You might compare availability, pricing, inclusions and reviews, but thereβs another layer that matters just as much:
How will this person make you feel?
Because your celebrant is going to stand beside you during one of the most personal, emotional and visible moments of your entire wedding day.
Theyβre telling your story.
Theyβre guiding your guests.
Theyβre managing the energy in the room.
And, in many cases, theyβre the first person to truly set the tone for everything that follows.
So before you book, donβt just ask, βAre you available?β
Ask the questions that actually tell you whether theyβre the right person to hold this moment for you.
π 1. How Do You Personalise Your Ceremonies?
This is one of the biggest questions to ask.
You don't want your ceremony to sound like it could belong to any couple.
Ask your celebrant how they get to know you, how they gather your story and how much of the ceremony is written specifically around your relationship.
Do they send you a questionnaire?
Do they meet with you?
Do they have conversations separately with each of you?
Do they want to know how you met, what makes you laugh, what youβve overcome, what you love about one another and what makes your relationship uniquely yours?
The answers will tell you a lot about how personalised your ceremony is going to feel.
Because your guests don't need a generic summary of your relationship.
They want to hear your story.
βοΈ 2. What Is Your Process for Writing Our Ceremony?
Every celebrant has a different process.
Some will have a very structured system. Others take a much more conversational approach.
Ask what happens from the moment you book through to the day itself.
You might want to know:
When do you collect our information and story?
When will we see the ceremony draft?
How much input do we have?
Can we request changes?
How do you incorporate our personalities and sense of humour?
How do you balance meaningful moments with lighter ones?
How do you make sure the ceremony doesn't feel too long?
What happens with personal or sensitive information we share?
The right celebrant should have a process that gives you confidence β not leave you wondering what is happening behind the scenes.
π€ 3. How Do You Handle Nerves?
This one is particularly important.
Even couples who are completely comfortable speaking in front of people can suddenly feel very different when they're standing at the end of an aisle with 100+ people watching them.
A great celebrant understands that.
Ask how they support nervous couples, what they do if someone becomes emotional and how they keep the ceremony moving naturally if things don't go exactly to plan.
Sometimes the best moments are the ones that weren't scripted.
A pause.
A laugh.
A happy tear.
A moment where you need to take a breath.
Your celebrant needs to know how to hold those moments rather than rush through them.
π°οΈ 4. How Do You Structure the Ceremony?
Your ceremony doesn't need to follow a rigid formula simply because that's how weddings have always been done.
Ask your celebrant what they recommend for the structure and why.
How long do they suggest?
Where should your personal vows sit?
Do they recommend readings, rituals or cultural traditions?
How do they incorporate family members?
How do they transition between different parts of the ceremony?
And importantly, how do they keep your guests engaged?
Because a beautiful ceremony isn't just about what happens between the two of you.
It is also an experience being shared by everyone in the room.
π€ 5. How Do You Work With Other Wedding Vendors?
This is a question couples often overlook.
Your celebrant doesn't work in isolation.
They're part of a much bigger wedding-day ecosystem.
They may need to coordinate with your planner, coordinator, venue, photographer, videographer, musicians and other suppliers to make sure everyone knows what is happening and when.
For example:
When does the processional music begin?
Who cues the musicians?
Who manages the microphone?
When does the ceremony officially finish?
Where do you go immediately afterwards?
Does the photographer need a few extra minutes?
Who manages the signing table?
How is the transition into your next wedding moment handled?
These little details can make a huge difference to how seamlessly your day flows.
πΏ 6. What Happens If Something Unexpected Happens?
Because something unexpected probably will happen.
A microphone might stop working.
The weather might change.
A flower girl might refuse to walk down the aisle.
Someone might arrive late.
You might laugh through your vows.
Your ring might be in the wrong pocket.
And honestly?
Those moments often become some of the stories you remember most.
Ask your celebrant how they handle unexpected situations.
You aren't looking for someone who promises that nothing will ever go wrong.
You're looking for someone who knows what to do when it does.
Experience matters here.
π 7. What Legal Requirements Do You Handle?
Of course, there is also the important legal side of getting married.
Ask your celebrant exactly what is included in their service and what they require from you.
Clarify the paperwork, required documents, notices, ceremony requirements and what needs to happen before and after your wedding day.
A professional celebrant should be able to clearly explain the process and make sure you understand what is required of you.
Because the last thing you want is to discover an important requirement at the eleventh hour.
π§ 8. What Equipment Do You Provide?
Don't assume the microphone and sound requirements are automatically covered.
Ask whether your celebrant provides their own microphone, PA or speaker system, whether they have backup equipment and what they recommend based on your ceremony location and guest numbers.
This becomes particularly important for outdoor weddings.
Wind, distance, background noise and large guest numbers can all impact whether your vows and ceremony can actually be heard.
Your ceremony might look incredible.
But your guests also need to hear it.
π¬ 9. Can We See or Hear Examples of Your Ceremonies?
Photos are useful.
Reviews are useful.
But when you're choosing a celebrant, their voice matters enormously.
If possible, listen to examples of their work or ask whether they have ceremony footage available.
Pay attention to:
Do they sound natural?
Do they tell stories well?
Do they make you smile?
Do they create emotion without becoming overly theatrical?
Can you imagine them speaking about you?
You should be able to hear their personality and picture how that energy would feel on your wedding day.
β¨ 10. Most Importantly: Do We Actually Connect?
This might be the most important question of all β and it isn't really a question you ask your celebrant.
It's one you ask yourselves.
After your meeting, how did you feel?
Did you feel comfortable?
Did they listen?
Did they seem genuinely interested in you?
Could you see yourself trusting them with your story?
Could you imagine them standing beside you on the day?
Because chemistry matters.
Your celebrant is going to hear personal stories, understand your relationship dynamics and stand incredibly close to you during one of the biggest moments of your life.
You need to feel safe with them.
The right celebrant won't just tick the boxes.
They'll make you feel like you've found your person.
The Right Celebrant Sets the Tone π€
A celebrant doesn't simply stand at the front and read a script.
They create an experience.
They guide the emotion.
They bring your story to life.
They engage your guests.
They manage the unexpected.
They create moments of laughter, connection and meaning.
And they help transform the ceremony from something you simply have to do before the reception into one of the most memorable parts of your wedding day.
That's the difference between a ceremony that is simply beautiful and one that feels completely, unmistakably yours.
So take your time.
Ask the questions.
Meet with more than one celebrant if you need to.
And don't choose solely based on price or availability.
Choose the person you trust to tell your story beautifully.
